Protocol: Data Import & Migration

Legacy data is an untapped asset. By importing your existing contacts into the RevStackr System, you transition from unorganised spreadsheets to a high-performance database. Correct mapping and tagging at this stage are essential for triggering automated follow-ups and maintaining professional data integrity.

  • File Preparation: Open your contact list in Excel or Google Sheets. Ensure your column headers are clearly labelled (e.g., First Name, Last Name, Email, Phone Number). Save the file as a .CSV.
  • Log in to your Sub-account and select Contacts from the main sidebar.
  • Click the Import Contacts icon (upward arrow) located at the top of the contact list.
  • Upload & Map: Drag and drop your CSV file. The system will ask you to map your columns to the RevStackr fields. Match "Phone" to "Phone" and "Email" to "Email". If a field does not exist, you can create a Custom Field on the fly.
  • The Tagging Layer: On the final screen, you must assign a Tag to this import (e.g., Import_March_26_Investors). This allows you to filter this specific group for future campaigns.
  • Select Submit. You can track the progress of the migration by clicking on Bulk Actions in the top navigation bar of the Contacts page.

RevStackr Pro-Tip: The "Clean Slate" Strategy

Before importing, ensure all UK phone numbers are in international format (e.g., +447...). This ensures that the system can immediately trigger SMS automations without delivery failures. Additionally, use the Find Duplicates feature during the import to prevent sending multiple messages to the same individual.

Operational Blockages

  • Mapping Errors: If the import fails, check for special characters in your CSV headers. Keep titles simple (e.g., use "Email" instead of "Customer_Email_Address_Primary").
  • Unsubscribed Leads: If you are importing a list with known opt-outs, ensure you include a column for "DND" (Do Not Disturb) and map it accordingly to prevent accidental communications.
