The Subdomain Strategy

To prevent your CRM emails from "tripping up" your normal business inbox (Zoho/Proton), we set up a dedicated path for CRM traffic. This protects your reputation and keeps your personal inbox clean.

Example Structure:
• Primary Domain: company.com (Used for your website & Zoho)
• Sending Subdomain: mail.company.com (Used ONLY for RevStackr)
Step-by-Step Implementation
  • Create the Sending Domain: 1. In your RevStackr dashboard, go to Settings > Email Services. 2. Click Dedicated Domain and then Create Dedicated Domain. 3. Enter your subdomain (e.g., mail.yourdomain.com).
  • Gather Your DNS Records: The system will generate a list of records. You will need to copy these into your Domain Provider (Cloudflare, GoDaddy, Namecheap, etc.).

    Add these records exactly as they appear in your dashboard. These apply only to the sending subdomain and will not affect your primary email or website.
  • Verify and Connect: 1. Once you've added the records to your provider, return to RevStackr. 2. Click Verify Domain. It may take 5 minutes to 24 hours to "green light," but usually, it’s instant. 3. Once it says SSL Active/Verified, you are ready to send.
Testing & Verification
  • The "Round Trip" Test: 1. Open a contact record in RevStackr. 2. Send an email to your own personal Gmail or Outlook address. 3. Reply to that email from your Gmail/Outlook. 4. The reply should appear inside the RevStackr Conversations tab instantly.
System Behaviour Notes

1. Technical Reply Path

You might notice technical headers showing [email protected]. This is normal. It’s how the platform "hooks" the reply so it knows which contact record to attach it to.

2. The Gmail "Promotions" Tab

Gmail often puts CRM emails in the Promotions tab. This happens because CRM headers include "Unsubscribe" links. This is standard behaviour across the entire industry and does not mean your email is marked as spam.

Strategic Summary

By using a Dedicated Sending Domain, you separate your CRM marketing traffic from your primary Zoho or cPanel mailbox. This ensures that even if you send 1,000 marketing emails, your personal business email reputation remains untarnished.
