Protocol: Pipeline Architecture

A structured pipeline is the engine of your business. It allows you to track every enquiry from initial contact to bank transfer. By default, we have engineered two master frameworks into your sub-account: Sales Flow and Aftersales, ensuring your deal management is organised and scalable from day one.

  • Log in to your Sub-account and select Deals from the main sidebar.
  • Standard Frameworks: Use the dropdown menu at the top of the screen to toggle between your pre-loaded pipelines. Use Sales Flow for acquisition and Aftersales for managing deals currently in legals or progression.
  • Customising Pipelines: To add your own stages or create a new pipeline, click the Settings gear icon in the top-right of the Deals screen (or navigate to Settings > Pipelines).
  • Click + Create New Pipeline or edit an existing one. You can rename stages, change their order, or add new milestones to match your specific internal workflow.
  • Deal Management: Drag and drop deal cards between stages as they progress. Note: Moving a card can be set to trigger internal notifications or client updates to ensure the deal stays on track.
  • 24/7 Lead Catcher: While the Deals board visualises the flow, the logic for automated responses lives elsewhere. Navigate to the Automations tab to customise the SMS and Email responses for your missed calls and new enquiries.

Don't let deals rot. Use the dashboard filters to highlight cards that haven't moved in over 7 days. This allows you to focus your energy on high-probability deals that require a final push to reach the next stage of the process.

Operational Blockages

  • Permissions: If you cannot see the 'Settings' icon in the Deals tab, your User Permissions may be restricted. Ensure an admin has granted you 'Pipeline Settings' access.
  • Closed Deals: When a deal completes, drag the card to the Won bin at the bottom of the screen. This updates your conversion metrics and triggers any "Post-Sale" automated workflows.
