By architecting Custom Fields, Values, and Objects, you personalise every interaction and ensure your Deals are backed by high-fidelity intelligence. We are moving beyond basic contact info and building a bespoke digital infrastructure.

  • Custom Fields (The Lead Intelligence Layer)
    Navigate to Settings > Custom Fields. Click + Add Field to create niche-specific data points.

    Example: For Property, add "Portfolio Size" (Numerical) or "Investment Strategy" (Dropdown). These allow you to segment leads and trigger tailored follow-ups based on their specific needs.
  • Custom Values (The Global Variables)
    Navigate to Settings > Custom Values. These act as "Master Keys" for your system.

    Example: Create a value named booking_link. Instead of typing your link into 50 different emails, use the merge tag. If your link ever changes, you update it once in the settings, and it corrects globally across every template instantly.
  • Custom Objects (The Asset Layer)
    Navigate to Settings > Custom Objects. This allows you to track entities that aren't people.

    Example: Create a "Property" object. You can now link a single property asset to multiple contacts (e.g., Owner, Buyer, Solicitor), creating a complex web of deal intelligence that standard CRMs cannot handle.
  • Organisation & Folders
    As you scale, your data can become "dirty." Use the Folders feature within Custom Fields to group your data points (e.g., a folder for "Financials," a folder for "Property Specs"). This keeps the user interface clean for your team when they are working on live Deals.
  • Deploying Merge Tags
    To use this data, open the Email or SMS builder. Click the Custom Values icon (the tag symbol). Your custom fields and values will appear in the list. Selecting one will insert a shortcode like , which the system dynamically replaces with real data at the moment of sending.

Operational Blockages

  • Data Clutter: Only create fields for data that drives a decision. If you aren't going to use a data point to filter a list or trigger an automation, don't build it. Data for the sake of data slows down your Deals board.
  • Field Types: Ensure you choose the correct type (e.g., Numerical for budgets, Date for deadlines). Using a "Text" field for a budget prevents you from using "Greater Than/Less Than" logic in your automations later.
